Title: Ballet Wichita Academy Coordinator

Reports To: Artistic Director

Position: Part-time, exempt

About Ballet Wichita:

Ballet Wichita (BW) is a pillar of the performing arts community in Wichita, Kansas, and has been operating continuously since 1973.  With a growing audience and a commitment to the performing arts, BW connects, inspires, and enriches dancers, audiences, and community through dance education, and performance excellence.  BW’s ongoing efforts to strengthen arts education in the community were bolstered in September 2022 with the re-launch of its Ballet Academy and a new Progressive Ballet Training Curriculum.  

 

Position Summary:

 The Ballet Wichita Academy Coordinator works with management to implement Ballet Wichita’s dance training programming as developed by the Artistic Director and under the director’s guidance.  This job accommodates a hybrid work schedule that allows for remote work and in studio presence with a schedule that can be customized to best fit the needs of the coordinator and the academy.

Program Management:

  • Act as the key liaison between BW management and our community of Academy enrolled students and families; answering routine questions.
    • Receiving and directing all incoming correspondence including in-person, phone, email and mail
    • Escalated incidents should be quickly brought to the attention of the Artistic and Executive Directors
  • Oversee the smooth delivery of programming by coordinating all aspects of programming, including:
    • Registering students for classes and handling tuition payments and billing/ both online through our website and in person
    • Scheduling of teachers and or substitutes
    • Timely reminders to all participants around schedules, events, updates, and payments
    • Assisting the Artistic Director with fall, spring, and summer class schedules
    • Assisting the Artistic Director with teaching assignments for instructors
    • Assisting the Artistic Director with dancer placement and advancement
  • Assist the Artistic and Executive Directors in planning and implementation of strategies to grow enrollment in the Academy.

Managerial accounting, planning, and reporting:

  • Track personal and teaching artists’ work hours.
  • Collect data on participation by dancers and families.
  • Handle clerical duties and maintain electronic and hardcopy filing systems.
  • Assist in contextualizing data for internal and grant writing needs.
  • Contribute to the documentation of program delivery, successes, and places for improvement.

Organizational Operations:

  • Oversee the administration and delivery of BW’s Academy dance training programming.
  • Report directly to BW administrative staff on progress, problems, developments, and dialogues about potential refinements and adjustments that could positively impact the effectiveness of BW’s Academy programming.
  • Assist in maintaining a clean and welcoming studio.

Marketing and Communications:

  • Help market and promote the Academy through social media, emails, mailings and communicating with studios in the community.
  • Take pictures documenting program delivery for the purposes of marketing materials and social media posts.
  • Participate in coordinated social media campaigns by posting before, during and after events.

QUALIFICATIONS AND EXPERIENCE

Required:

  • The ideal candidate is a self-starter and able to work well both independently and as part of a team.
  • She/he will possess excellent customer service skills and should enjoy working with students and parents in an educational environment.
  • Must be able to manage multiple priorities, while maintaining a positive attitude and a professional, calm demeanor and work comfortably in a fast paced, open-office environment.
  • Excellent written and verbal communication skills, impeccable attention to detail, strong organizational and management abilities, excellent computer skills and basic accounting skills.
  • A generosity of patience in working with adults and children.
  • Working knowledge of Microsoft Office suite, Google Drive, and social media platforms.
  • Own phone, computer, and transportation.
  • Residence in the greater Wichita area

Preferred:

  • Completed Bachelor’s Degree or equivalent experience.
  • Experience teaching dance – though ballet is preferred, all experience will be considered.

Compensation and Benefits:

  • This is a salary based, part time appointment.
  • The anticipated salary range is $6,000.00 to $12,000.00.  Actual pay will depend on experience, qualifications, and degree to which the job’s needs can be met.
  • There are no insurance or retirement benefits.
